Vendor Policy – Toronto & Vancouver

1. Product Standards

All products sold or promoted must be free from animal-derived ingredients or by-products. Vendors are responsible for ensuring truthful representation, ingredient transparency, and compliance with all applicable laws.

2. Food Safety & Health Authority Compliance

Food vendors must comply with the health authority governing the event location.

Vancouver, BC

• Food must be prepared in a Vancouver Coastal Health (VCH)-approved commercial kitchen.
• Fresh food vendors must provide a VCH-compliant hand-washing station.

Toronto, ON

• Food must be prepared in a Toronto Public Health (TPH)-approved commercial kitchen.
• Fresh food vendors must provide a TPH-compliant hand-washing station.

3. Temporary Food Service / Special Event Applications

• Food vendors must submit all required Temporary Food Service or Special Event documentation to info@theveganmarket.ca no later than 30 days prior to Toronto events and 14 days prior to Vancouver events.
• Late submissions may be subject to a $50 late fee, as determined by the applicable health authority.
• Food trucks are exempt from temporary food applications but must provide valid licenses and permits for the event city.

4. Insurance & Liability

• Vendors must maintain Commercial General Liability Insurance with a minimum limit of $2,000,000 per occurrence.
• Proof of insurance naming The Vegan Night Market / Peaces as additionally insured must be submitted at least 14 days prior to the event.
• Vendors assume all responsibility for loss, damage, injury, or claims arising from participation.

5. Set-Up, Tear-Down & Equipment

• Vendors are responsible for full setup and teardown of their stall.
• All necessary equipment must be supplied by the vendor, including tents, weights, tables, extension cords, lighting, and sanitation supplies.

6. Hand-Washing Stations

• Required for all fresh food vendors.
• One station may be shared by up to four vendors where permitted by the local health authority.

7. Punctuality

• Vendors must be fully operational 30 minutes before market opening.
• Vendors arriving 25 minutes or less before opening may be refused entry without refund or credit.

8. Cancellation, Credits & Date Changes

Weather

• Events operate rain or shine. No weather-related credits or refunds.

Organizer Cancellation

• If the organizer cancels or postpones an event, vendor fees will be issued as a credit valid for 12 months.

Vendor Cancellation

• 31+ days before the event: credit issued (12-month validity).
• 30 days or fewer: all fees forfeited.

Date Changes

• Changes may be made up to 21 days before the event, subject to availability and pricing adjustments.

Transferable Credits

• Vendor credits may be transferred to another vendor once with prior written approval from the organizer.
• A $30 transfer fee applies per transfer.
• Credits remain valid for the original 12-month period and do not reset upon transfer.
• The organizer reserves the right to deny or revoke a transfer if the receiving vendor does not meet event standards, regulatory requirements, or capacity limitations.

9. Payment Terms

• Visa, Mastercard, Debit, and Apple Pay payments are subject to a 3.5% processing fee.
• E-transfers are fee-free.
• Full payment is required within 5 business days to secure participation.

10. Health, Safety & Assumption of Risk

• Vendors are responsible for their own health and personal protective equipment.
• Vendors must not attend if experiencing illness.
• The organizer assumes no liability for illness, injury, or health-related incidents, including communicable diseases.

11. Code of Conduct

• Vendors must act respectfully and professionally toward staff, attendees, and fellow vendors.
• Discrimination, harassment, or unsafe conduct will result in immediate removal without refund or credit.

Participation in any Peaces / Vegan Night Market event constitutes agreement to this policy and all applicable municipal, provincial, and federal regulations.
